Who we are

Isology is an independent standards consultancy operating in the United Kingdom. For the purposes of UK GDPR, Isology is the data controller for personal data collected through this website. You can contact us at success@isology.co.uk.

What we collect and why

We only collect personal data that you actively submit through this site. Specifically:

1. Contact enquiries (/contact)

• Data: name, company, email address, optional phone number, company size, standards of interest, preferred contact method and the message you send us.
• Purpose: to reply to your enquiry, arrange a consultation and provide information about our services.
• Lawful basis: legitimate interests (responding to a request you initiated) and, where applicable, steps taken at your request prior to entering a contract.

2. Plain Talking Standards downloads (/plain-talking-standards)

• Data: name, company, business sector, email address, the guides you selected, and your marketing preference (opt-out tick box).
• Purpose: to send you a personal, time-limited download link for your chosen plain-English standards guides and, unless you opted out, occasionally contact you about related services.
• Lawful basis: performance of your request (delivering the download) and legitimate interests (marketing follow-up where you have not opted out).

3. Compliance Checklist requests (/compliance-checklist)

• Data: name, company, sector, email address and marketing preference.
• Purpose: to email you the branded Compliance Checklist PDF and, unless you opted out, related consultancy updates.
• Lawful basis: same as above.

4. Technical data

• When you submit a form we store the source IP address alongside your submission for security, fraud-prevention and audit purposes.
• We do not use advertising cookies. Essential cookies may be used by our hosting platform to keep the site working.

How we use your email address

All enquiries and download requests are routed to success@isology.co.uk, our monitored client-success inbox. We use this address to reply to you. We do not sell, rent or share your email address with third parties for their own marketing.

Marketing preferences

When you request a Plain Talking Standards guide or the Compliance Checklist you can tick the opt-out box to prevent us using your details for future marketing. You can withdraw consent or opt out at any time by emailing success@isology.co.uk with the subject line "Unsubscribe".

How long we keep your data

• Contact enquiries: retained for up to 24 months after the last interaction, then deleted.
• Download requests: the personal download token expires after 7 days; the underlying record is retained for up to 24 months so that we can honour marketing-preference choices.
• Statutory records: where we have a legal obligation to keep records for longer (e.g. tax or accounting), we do so for the required period only.

Where your data is stored

The website and its database are hosted on secure cloud infrastructure within the European Economic Area. Transactional emails (download links, enquiry acknowledgements) are sent through our email delivery provider using our verified sender domain notify.isology.co.uk. All data is transmitted over encrypted HTTPS connections.

Sharing your data

We share personal data only with:

• our hosting and email delivery providers, acting as data processors under written agreements;
• professional advisers where strictly necessary; and
• regulators or law enforcement where we are legally required to do so.

Your rights

Under UK GDPR you have the right to:

• access the personal data we hold about you;
• request correction of inaccurate data;
• request erasure ("the right to be forgotten") where applicable;
• restrict or object to processing;
• request data portability; and
• withdraw consent for marketing at any time.

Complaints

If you are unhappy with how we have handled your personal data you can complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.

Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top will always reflect the current version.
